The Employee Name field is a virtual field comprised of several fields from the personnel demographics file in the following order: Last Name, Lineage, First Name, Middle Name. This ordering of the name fields is consistently used throughout the HR and Budget Prep modules (on screens and in reports). A new virtual field has been created where the Lineage is at the end and has been made available to the two define lists that are part of the Personnel Demographics master. Should you rather see this order when browsing personnel demographics records, you will need to re-establish screen defaults for these define lists (for a position and length; set the position to 0 for the field you don’t want to display).
A new field has been added to the Personnel Demographics file (PERDMG) for Retirement Employee ID. It is located on the Benefits tab of the maintain screen (and also available to the search browse and define list screens) and allows up to 20 characters (alphanumeric). The field can be populated via the personnel demographics maintain master or when new employees are added (via Add Personnel).
Please note that it is not visible for organizations in the State of Virginia as there is already a VRS Employee ID field (at some point in time, consideration can given to automatic conversion of the VRS field to this new generic field once all reports/processes that use the field are identified).
A new report has been created for OpenRDA and placed on the Employee Lists anchor under Personnel reports. The Employee List by Last Paid Date report provides personnel demographics information by last paid date (a field in personnel demographics). Employees can be sorted by Social Security Number, Personnel ID, or Last Name. Other fields listed in the report are Pay Location, Personnel Class, Status Title, Birthdate, Hire Date, Termination Date, and Current Employee Status. There is an option for last paid totals only (no employee detail). Range on Last Paid Year to obtain a count of all employees paid in a year.
A report is now available from the Filing tab of Personnel Demographics that will display federal and state filing status information. For the two deductions, the report contains filing status, exempt status, exemptions, additional amount, and correcting amount. Number of Dependents claimed will also display for the State tax deduction.
A new report has been created for OpenRDA and added to the Benefit Plans on the Resource Bar of the Personnel module. This new report can be used to assign (set) the Retirement Plan field in Personnel Demographics in mass based on active employee deduction masters. You must first define the Retirement Plans (under Benefit Plans, visible if Use Retirement Plan is on/checked in the setup variables). Range appropriately for the applicable retirement plan (such as Deduction Description). A printout is provided. Setting flags will update the personnel demograhics database.
Virginia customers: the first 5 characters of the retirement identification must be the agency/group code.
Tennessee customers: the first 5 charactes of the retirement identification must be the contribution group code.
The Emergency Contact and Emergency Physician tabs on the Personnel Demographics Maintain Screen have been combined so that all emergency information can be accessed from the same tab.
